DialogIQ: Data Handling & Security

At DialogIQ, we are committed to transparency and protecting the data associated with your use of our educational AI conversation tool. This page outlines how data is handled when you and your students use DialogIQ.

Our Core Principles for Data Handling:

  • User Control: You, the teacher, control the primary data (scenarios, settings, class lists, and conversation results) within your own Google Workspace environment.
  • Ephemeral LLM Interactions: Live chat interactions with the AI are designed to be ephemeral from DialogIQ’s perspective.
  • Security: We implement industry-standard practices to protect data processed by our services.

How DialogIQ Handles Your Data:

  1. Scenario & Settings Data (Your Google Sheet):
    • Storage: All the scenarios you build, including their content, instructions, configurations, and your add-on settings (like language, chat passwords, class lists), are stored directly within your dedicated DialogIQ Google Sheet.
    • Control: This sheet resides in your Google Drive. You have full control over its contents and sharing permissions through your Google account.
    • Obfuscation: Some data within this sheet may be lightly obfuscated to deter the pirating of commercially purchased or proprietary scenarios, but it is not encrypted in a way that would prevent you from accessing it if needed.
  2. Live AI Chat Interactions (Ephemeral & Secure):
  • Process: When a student (or you during preview) interacts with a scenario:
    • Prompts based on your scenario design and the student’s input are sent securely via HTTPS to our backend proxy service.
    • Our proxy then responsibly forwards these prompts to the underlying Large Language Model (LLM) provider.
  • No Permanent Storage by DialogIQ: DialogIQ’s backend systems do not permanently store the content of these live chat interactions. The interaction data (prompts and AI responses) is processed ephemerally by our systems solely to facilitate the real-time conversation.
  • OpenAI API Data Usage Policy: We utilize OpenAI’s API for the AI-driven conversations. A key aspect of OpenAI’s policy for API usage (which DialogIQ adheres to) is that:
    • Data sent to the OpenAI API is not used to train OpenAI’s models.
    • OpenAI does not retain your API data for more than 30 days (and often less), primarily for abuse and misuse monitoring purposes, after which it is deleted (unless legally required to retain).

  • Our Secure Proxy: Our backend proxy acts as a secure intermediary. It manages the API key and the communication with OpenAI, meaning your direct credentials are not exposed, and we can manage the interaction flow effectively.

3. Conversation Results (Teacher-Controlled Storage in Google Drive):

  • Optional Storage: You, the teacher, can configure DialogIQ (if this feature is enabled/implemented) to save transcripts or results of student chat interactions.
  • Storage Location: If this feature is used, these conversation results are saved into a specific folder named “Shared DialogIQ Conversations (DO NOT DELETE)” created by DialogIQ within your Google Drive.
  • Control & Access: You have full control over this folder and its contents. You decide who can access these conversation results through Google Drive’s sharing settings. DialogIQ’s support team (info@dialogiq.ai) and necessary service accounts require access to this folder to ensure the functionality of the student chat interface and result storage.
  • If not explicitly saved by the teacher’s configuration, chat data from student interactions is not stored by DialogIQ beyond the ephemeral processing for the live session.

4. Google Account Information:

  • We use your Google email address to identify you for registration, settings, and to enable the add-on’s functionality. Your name may be used if provided during onboarding.

5. Security Measures:

  • Secure Communication: All communication between your browser, the DialogIQ add-on, and our backend services (including the LLM proxy) uses HTTPS encryption.
  • Backend Proxy: Our backend proxy manages interactions with the LLM, preventing direct exposure of sensitive credentials and adding a layer of control.
  • Google Cloud Infrastructure: DialogIQ’s backend services are hosted on secure cloud infrastructure.
  • Limited Access: Access to your DialogIQ Google Sheet and “Shared DialogIQ Conversations” folder by our service accounts and support team is strictly for enabling core functionality and providing support.

Your Responsibilities:

  • Secure your Google Account credentials.
  • Manage the sharing settings of your DialogIQ Google Sheet and the “Shared DialogIQ Conversations” folder appropriately.
  • Set a strong, unique password for the student-facing chat interface within DialogIQ’s settings.

DialogIQ is designed to provide a valuable educational tool while respecting data privacy and security. We aim to give teachers control over their data within their familiar Google Workspace environment and to handle transient chat data responsibly.
